AI Adoption Readiness Guide

A working readiness worksheet for teams choosing an AI task, preparing a pilot and documenting what still needs attention.

Use this before choosing a tool

Complete the worksheet with the people who perform the work and those responsible for information, risk and delivery. Record evidence and unknowns. This is an educational planning aid, not a validated readiness score or a compliance assessment.

Readiness worksheet

Task and outcome
Describe the task, affected people and current difficulty. What observable change would make the pilot useful? Attach examples of the work.
Baseline
Record task volume, effort, quality and exceptions. Use comparable cases and define an acceptable completion.
Information
List the inputs, their sensitivity, who controls them and permission to process them. Check the actual tool plan’s data-handling terms before use.
People and oversight
Name the operator, qualified reviewer, accountable owner and person authorised to stop the pilot. State what the reviewer must check.
Technology and workflow
Document dependencies, integrations, permissions and a manual fallback. Ask whether a simpler process change would solve the problem.
Evaluation
Define normal, ambiguous and failure cases. Write quality criteria and stop conditions before testing.
Cost and capacity
Include preparation, review, correction and maintenance. Explain how released capacity would create realised value.

Use evidence gates, not an average score

Mark each area supported, unresolved or blocking, and record why. Do not average away an inability to protect information or detect a serious error. The relevant owner should decide whether to proceed, redesign the task or defer it.

The NIST AI RMF 1.0 Core provides a broader risk-management context. This worksheet does not reproduce or certify the full framework.

Turn the review into an action list

For every gap, write the next action, owner, evidence required and review date. An unknown is useful when it leads to a specific investigation.
